Privacy Policy

We collect data to process your booking and any booking you make for others.

We assume your data to be complete and correct.

Our ticketing partner (TicketTailor) will apply cookies and other website tools to assist in processing your booking.  If you don't want them to do this, please do not use the on-line booking system.

Neither May Heydays nor TicketTailor will ever sell or share your data (unless we are legally obliged so to do).

If you confirm that we can retain your personal data for marketing purposes, we will keep it secure and use it only for internal analysis, contact and to provide information about our current and future festivals.  If you tell us not to keep it, we will delete your personal information after the event.

Ticket and Payment Conditions

Tickets must be worn at all times when on site and must be clearly visible to stewards and school staff.
Ticket applications via TicketTailor are acknowledged by email; paper applications also by email, unless an S.A.E is provided for a posted receipt.
For payment by transfer we require full money due and cannot accept bank costs for receipts from abroad.
Those from overseas may wish to consider transfer agents — such as Wise wise.com.
Early-bird applications by post should have been sent before 31 January; cheque payments later in 2026 should be posted to arrive before 26 April.

Refunds

These are considered case by case and may be subject to a £25 administration fee. Please note: no refunds can be given for cancellations made within 6 weeks of the event because the festival is unable to reduce its financial commitments.
We do recommend that you have cancellation insurance.

Arrival time

Tickets will be available at the venue from 6 pm on Friday, in good time to eat and then dance at 8pm.
Friday will be a normal school working day so please do not arrive too early — children and their transports must have left the site and we need the chance to set up!
Ticket holders who are camping can arrive on site from 5.30pm on the Friday.

Parking and Camping

We require vehicle registration numbers for each overnight stay (both outdoor and concessionary indoor) and, for safety purposes, a mobile phone number.
All vehicle parking — cars, campervans, caravans — will be as instructed by School staff or MHD stewards; this may be on hard-standing or playing field areas.  The school decides on arrangements for camping vehicles depending on field conditions.
Tents will be on flat playing fields, but associated cars may have to move off the playing areas onto verges.
All camping units should follow recommended guidelines for safe distances apart:
Field camping (Friday-Sunday) can be extended to Monday night, but on the Tuesday all units must be off site by 8.15am.
Disabled attendees requiring hard-standing must pre-book a space in the 'Quad' (with – if needed – limited electrical connections).
If staying Monday night, you must vacate the area by 7.15am Tuesday.

NOTE: May Heydays cannot accept responsibility if the school management make last minute changes to their parking/camping conditions, but we will try our best to ameliorate these.

Children

May Heydays is a small weekend event without facilities for younger children such as are available at Sidmouth and Chippenham.

Therefore, anyone bringing a young child must take full responsibility for their behaviour, for the care of all.

No child totally new to folk dancing should be expected to perform safely in at an event such as May Heydays, with its mix of people of all ages, and especially older folks potentially at risk.  Toddlers who participate whilst held in their parents arms or back-carriers are accepted.

However, there are certainly older children who have been introduced to dance from a young age and can follow callers' instructions or guidance offered by fellow dancers.  We encourage their attendance and that of their parents.

In general 12 is a suitable age, and the guardian of any child causing problems will be asked to withdraw them promptly from the dance floor.

Catering

We will endeavour to arrange for the provision throughout the weekend of suitable catering to meet most needs, with a range of choices, including vegetarian and gluten-free, at reasonable cost.  Details of menus will be provided as available.

Whilst reported dietary needs will be passed on our caterers, they may not be able to meet very specific and/or extensive requirements so some individuals may have to make their own arrangements.  It is up to individual caterers to decide whether we are able to put applicants in touch with them before the event.

Comments and Complaints

Please pass on any comments you may have to a member of the MHD team or steward as soon as possible — if we don't know we can't take any appropriate action.  Catering issues should be taken up with the relevant caterer.
General or specific feedback at the end of the festival is always welcome

Above all, enjoy yourselves and, if you have, do help promote the next year's festival by word of mouth to your dancing contacts.
